Job Description

Position: Site Administrator

Type of Contract: Contract

Start: Immediate

Job Location: Candidate must reside in Tema

Reports to: Project Manager

JOB SUMMARY:

The Site Administrator is critical to ensuring the site’s administrative functions run smoothly. They give critical support to the project management team, contractors, and workers by doing various clerical activities and facilitating communication both on-site and with the head office.

JOB DESCRIPTION:

Administrative Support: Provide administrative assistance to the project manager and other site personnel, including typing correspondence, drafting documents, maintaining project files, keeping personal data of casual workers, and sending the weekly and monthly timesheet to head office.

Communication: Serve as a point of contact for all communications, both internal and external. This includes responding to emails and relaying messages between different parties on site.

Document Control: Maintain accurate and up-to-date records, including project plans, permits, contracts, and other relevant documents. Ensure that all documentation is properly filed and easily accessible.

Financial Administration: Support the project manager in financial administration tasks, such as tracking expenses, and preparing reports on project expenses.

Site Logistics: Help coordinate site logistics, including parking arrangements, access control, and distribution of key site information to workers and visitors.

General Office Duties: Perform general office duties such as filing, photocopying, scanning, and organizing office supplies.

REQUIREMENTS:

  • 2 years of experience in a similar role.
  • Bachelor’s Degree in Business Administration or any related field
  • Ability to execute and manage multiple tasks
  • Interpersonal and good communication skills
  • Attention to detail and well organized
  • Problem assessment and problem solver
  • The role demands excellent organizational skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
  • Good MS Office skills
  • Excellent written and verbal English and local language skills.
