VACANCY FOR A PURCHASING OFFICER

Job Summary:

As a Purchasing Officer, you will play a crucial role in supporting the purchasing and procurement functions of the organization. Your primary responsibility will be to assist the procurement team with various administrative tasks to ensure efficient and smooth procurement processes. You will collaborate with internal teams, suppliers, and vendors to facilitate the purchase of goods and services required for the company’s operations.

Responsibilities:

  • Purchase Order Processing: Generate, review, and process purchase orders in accordance with established procurement procedures. Verify accuracy and completeness of purchase requisitions and obtain necessary approvals.
  • Vendor Communication: Interact with vendors and suppliers to obtain quotes, negotiate pricing, and ensure timely delivery of goods and services. Establish and maintain positive relationships with suppliers to ensure the best terms and conditions for purchases.
  • Inventory Management: Monitor inventory levels, track stock movements, and assist in forecasting future needs. Collaborate with inventory control teams to maintain optimal stock levels while minimizing excess inventory.
  • Contract Management: Assist in the preparation, review, and maintenance of supplier contracts and agreements. Ensure compliance with contractual terms and conditions, as well as internal policies.
  • Data Management: Maintain accurate and up-to-date purchasing data and records in the company’s procurement system or database. Generate reports and analytics related to procurement activities as required.
  • Purchase Requisition Review: Review purchase requisitions for completeness and compliance with company policies. Follow up with requestors to obtain additional information if needed.
  • Budget Tracking: Assist in tracking and monitoring purchasing budgets to ensure spending stays within allocated limits. Report any budget discrepancies or variances to the procurement team.
  • Problem Resolution: Handle and resolve any administrative issues or discrepancies related to purchasing processes promptly and professionally.
  • Procurement Support: Provide general support to the procurement team, such as researching potential suppliers, conducting market analysis, and identifying cost-saving opportunities.
  • Compliance: Ensure procurement activities align with relevant laws, regulations, and company policies. Stay updated on relevant procurement best practices and industry trends.

Requirements:

  • HND or a Bachelor’s degree in Business Administration, purchasing and supply or any related field.
  • 2-3 years of experience in a Purchasing role and in data entry.
  • Proficiency in using procurement software and tools
  • Detail-oriented and excellent analytical skills
  • Knowledge of procurement regulations and market trends
