Job Description
EXECUTIVE ASSISTANT
A luxury ready-to-wear brand in Accra, Ghana is hiring an Executive Assistant. The ideal candidate will provide high-level day-to-day administrative support to the executive team and contribute to the smooth functioning of the brand.
Duties and Responsibilities
Executive support:
- Act as the primary point of contact for the executive team, maintaining open lines of communication and handling inquiries and requests effectively. Manage executive calendars, including scheduling and organizing meetings, appointments, and travel arrangements. Prepare meeting materials, agendas, and presentations, ensuring all relevant information is accurate and available in a timely manner. Attend meetings, take minutes, and follow up on action items to ensure their completion.
Communication and Coordination:
- Maintain excellent communication with internal and external stakeholders, including clients, partners, and colleagues, on behalf of the executives. Handle incoming and outgoing correspondence, including emails, letters, and phone calls, with professionalism and confidentiality.
- Coordinates and liaises with different departments within the organization to ensure seamless information flow and collaboration. Assist in drafting and proofreading various documents, reports, and presentations.
Project Management:
- Assist in the planning, coordination, and execution of special projects, events, and initiatives as assigned by the executives. Conduct research, gather data, and prepare comprehensive reports to support decision-making processes. Monitor project timelines, track progress, and provide regular updates to the executives, identifying potential issues or risks.
Confidentiality and Discretion:
- Handle sensitive and confidential information with the utmost discretion and maintain confidentiality at all times. Safeguard important documents, files, and records, ensuring they are organized and easily accessible when needed.
- Adhere to company policies and legal requirements regarding data protection and privacy.
Skills & Qualifications
- A bachelor’s degree in business administration, fashion management, or a related field is
preferred. - Proven experience as an Executive Assistant or in a similar role, preferably within the luxury fashion industry.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
- Strong written and verbal communication skills, with exceptional attention to detail.
- Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- A good understanding of the industry’s trends and dynamics.
- Flexible and adaptable to manage changing priorities and demands.
