Job Description

Brief Job Overview

This is a supervisory position responsible for coordinating the site office administration and operations system and general workflows, providing daily operational support such as procurement, inventory tracking, asset management, vendor management and general facilities management. This role also provides procurement and logistics support for specific countries implementing PQM+ program. This role interfaces with all departments and external stakeholders. The role may require travel as needed.

  • Planning and coordinating administrative procedures and systems and devising ways to streamline processes. Plan, schedule, organize, and promote office events, including meetings, conferences, interviews, orientations, and training sessions. Maintain contacts database to allow effective communication with External Parties. (20%)
  • Coordinate renewal of in- country legal registrations to ensure compliance with relevant regulations. (10%)
  • Manage procurement for USP Ghana, donor funded projects including PQM+, ensuring compliance with USP SOPs and donor rules and regulations as applicable to ensure value for money and transparency in procurement processes. Vendor and contracts management (35%)
  • Logistics management including coordination of shipments for USP Ghana, PQM+ program and other donor funded programs. (20%)
  • General facilities management such as overseeing to facility services, maintenance activities. etc. (5%)
  • Provide support for the human resource function including coordinating staff recruitment activities, onboarding of new hires, and maintaining a local database and records of staff. Additionally, candidate will be expected to coordinate Ghana staff training / professional development activities, coordinate the renewal of staff benefit programs and administer benefit programs for new hires. (10%)

  • BSc/BA in business administration or relative field
  • Five (5) years of responsible professional experience
