Job Description

Mining Process & Project Engineering (MPPE) is an engineering and project construction company offering metallurgical, engineering and construction services in Ghana and West Africa with specialties in study, engineering, construction, project management and investment projects.

MPPE is seeking an Administrative Assistant to be a part of our support team. The role is responsible for specific admin related and clerical tasks, collaborating with various team members and participating whenever necessary to ensure smooth efficient support to administration and project team. Should have prior administrative experience.

Administrative Assistant Role

The successful candidate will be responsible for but not limited to:

1.     Typing of memos, letters, reports, faxes, telephone call reports and visit call reports (transcribed from shorthand, longhand, dictaphone or copy typing) for the office and project team.
2.     Screening, making and following up on emails, telephone calls, locally and internationally; sorting and distributing incoming/outgoing mail for office and project team.
3.     Making photocopies of documents/correspondence for distribution to relevant departments and individuals including circulation file.
4.     Typing and sending of letters locally and internationally and photocopying same for distribution and circulation file and maintaining an effective filing system
5.     Organizing and scheduling appointments / meetings.
6.     Running errands and making purchases for the company.
7.     Submitting and reconciling expense reports.
8.     Providing general support to visitors; acting as the point of contact for internal and external clients
9.     Monitoring office supplies and placing orders when necessary.
10.   Taking up any other responsibility / duty assigned in relation to the overall role

Key Performance Indicators
Must meet section key performance indicators as required by the company.

2.     Excellent administrative and typing skills
3.     Time management and organizational skills.
4.     Collaborative, coordination, support and communication.
5.     Proper documentation.

Qualification Requirements
1.     A relevant Diploma in Business Administration or Secretariate certificate
2.     Excellent computer literacy – accuracy essential (MS Office: Excel, Word, PowerPoint, Outlook, Teams, Projects and Adobe Professional)
3.     Must possess excellent verbal & written communication skills, organizational skills, and time management skills.
4.     At least 2 years’ experience as an Administration Assistant or in a related position.
5.     Must be able to work with minimal supervision.
6.     Must have the ability to maintain a high level of professionalism.
7.     Valid driver’s licence
