Accounts & Administrative Officer

Location: Accra, Ghana

Salary: Negotiable

The successful applicant will provide administrative and book keeping support to enable the smooth running of the Institute’s Secretariat.

You will take care of the financial bookkeeping and records of the Institute. The specific duties include recording transactions, payments and expenses, processing invoices, send out bills and invoices, follow up on overdue payments and ensure that a member’s invoices and payments match up correctly by cross-checking the original document to the company’s record.

In addition to the day-to-day administration and book keeping schedule, you would assist in the maintenance of the office IT systems. You would also be required to provide programme support by providing budgets for programmes and projects, storing programme documents and records and ensuring all transactions comply with statutory requirements. Your experience of working within a trade institution/non-governmental body will inform your development and implementation of systems for desired outcomes.

The main goal of an Account/Administrative Officer is to manage the Institute’s administrative and financial records, and include:

  • Preparing budgets and monthly accounts
  • Creating and processing invoices
  • Cross-checking invoices with payments and expenses to ensure accuracy
  • Managing the Institute’s accounts payable and receivable
  • Sending bills and invoices to members and clients
  • Tracking organisation expenses
  • Preparing the final accounts for auditing
  • Adept computer skills and proficiency using programs like QuickBooks and Microsoft Excel
  • Excellent organisation skills for maintaining clear, accurate and meticulous financial and meeting records for the Institute
  • Attention to detail for ensuring the accuracy of the Institute’s records and invoices
  • Multitasking in order to successfully handle multiple accounts, invoices and payments at various stages of execution
  • Excellent efficiency for handling any accounting issues quickly with minimal interference
  • Communicating with clients regarding billing and payments
