Job Description
The Accounts and Administrative Assistant will support the Senior Operations Associate in overseeing and managing administrative, accounting, tax and general statutory issues within the Company. This role involves administrative, clerical, and client (internal and external) management tasks to ensure efficient operations and compliance with statutory requirements.
Key Responsibilities
Accounting, Tax and Payroll
- Prepare monthly, quarterly and annual financial statements
- Prepare and maintain accounting documents and records
- Make accounting entries for financial transactions
- Prepare bank deposit slips, general ledger postings and statements
- Prepare monthly bank reconciliation statements
- Maintain a petty cash journal and keep track of cash movements
- Ensure that company tax returns including PAYE, VAT, WHT and CIT are filed and paid in a
time v manner - Process payroll and ensure the right deductions are paid to relevant authorities in a timely manner
- Keep track of bills/vouchers and other costs and expenses and analyse the related information (invoices, receipts, service contracts etc
Regulation and Compliance
- Maintain correspondence with and ensure compliance with all relevant regulatory bodies such as the Securities and Exchange Commission, Ghana Revenue Authority and SSNIT
- Provide the needed support to the Legal & Compliance team as may be required to close out overlapping regulatory/statutory compliance and reporting requirements
Investment Support & Fund Administration
- Support the supervision of designated Fund Administrators for all active Funds to ensure compliance with reporting timelines and core responsibilities such as issuance of capital calls, default notices and other fund documentation
- Support all processes leading to the disbursement of investment capital after validating the documentation received from the transactions team
- Support the preparation of fund annual budgets and schedules for Capital Calls and
Distributions - Support value creation efforts for portfolio companies as may be required
General Administration
- Book and schedule flights for all team members
- Order and maintain office supplies
Maintain correspondence with 3rd party vendors - Ensure appropriate sanitary conditions in the office premises
Qualifications
Candidates should ideally satisfy the following;
- Bachelor’s degree in Accounting, Finance, Business Administration or other relevant field
- Professional qualification (e.g. ACCA, ICAG, CIMA, CFA etc) and/or prior relevant experience is an advantage
- Ability to use any accounting software is an advantage
- Impeccable integrity and character
- Good communication (both written and verbal) and interpersonal skills
- Good analytical skills and attention to detail
- Good facilitation skills for meetings
- Seniority: Entry level
