Reports to:        Assistant Director of Facilities Management.

 

Role summary: The Hostel Assistant will be responsible for providing operational support within the Facilities team for the effective and efficient management of the University’s hostel buildings. The Hostel Assistant will also provide administrative support for a wide range of tasks relating to the delivery of an excellent student experience, while working as part of a team dedicated to this purpose.

 

Duties and Responsibilities

  1. To assist in the overall management and smooth running of the Hostel and all facilities such as security systems, access door entry systems, CCTV etc.
  2. Provide customer service (in-person, via phone and online) through the 24-hour service desk; receive, handle, and resolve customer complaints from both students and visitors and provide feedback where necessary.
  3. Read, gather, compile, and prepare reports as assigned.
  4. Be on time for your assigned shift, attend all required meetings such as staff meetings, individual meetings with supervisor and participate in pre-service and on-going training throughout your employment.
  5. Take all reasonable steps to ensure the health, safety and security of students and other users of the facility; follow directives in the event of an emergency from all related units such as the Health Centre and Student, Life Engagement and as directed by the Senior Estate Officer or Assistant Director of Facilities Management to get Students, visitors, and other users of the facility to designated safety assembly stations.
  6. Report any incidences of theft, fighting, rowdy behaviour, etc from any user of the hostel to the Assistant Director of Student, Life and Engagement/SLE Department.
  7. Keep yourself updated with Hostel facilities and resources to be able to provide information and guidance on the use of such facilities and resources for student’s use and comfort.
  8. Keep an updated inventory of all items and facilities in the hostel at all material times.
  9. Monitor the use of amenities/utilities and report any observations to the Senior Estate Officer and assist with cyclical pre-planned maintenance and reactive maintenance required on-site.
  10. Provide input where needed for the review and development of Standard Operational Procedures and strategic policies.
  11. Monitor and supervise the routine schedules for cleaning, gardening and security of the Hostel sites and report any shortfalls to the Senior Estates Officer.
  12. Sign-in and sign-out external contractors who are called to work in the hostels and ensure that the assigned tasks are done according to the specific instructions given.
  13. Maintain manual and computerized accommodation systems and records to ensure a high level of accurate data on occupancy is available.

Any other job-related duties as requested by the Senior Estate Officer / Assistant Director-Facilities Management.

 

Required Qualifications and Skills

  1. High School Certificate or Technical/Vocational Education Certificate.
  2. Working knowledge of Microsoft Office suite.
  3. Good communication skills, both written and verbal.
  4. Good analytical and evaluative skills with attention to detail.
  5. Ability to organise own workload.
  6. Ability to work to tight deadlines and to make decisions.
  7. Good interpersonal skills, and the ability to adapt to the needs of the customer or user.
  8. Team player and able to work using own initiative, when required.
  9. Commitment to students and the quality of their experience.
  10. Must have a proactive, positive and “can do attitude”.
  11. A high sense of ethics is vital for this role.
