Job Title: Administrative Assistant

JOB SUMMARY: We are seeking to recruit a dedicated, well-organized and detail-oriented Administrative Assistant to join our school’s dynamic team. This Administrative Assistant will play a vital role in ensuring the smooth operation of the school’s administrative functions. He or she will also work closely with school staff, students, parents and visitors, providing essential administrative support.


  • Warmly welcome and assist visitors, parents, and students in a courteous and professional manner.
  • Attend to incoming phone calls and efficiently direct them to the appropriate staff members.
  • Manage inquiries and offer comprehensive information about the school.
  • Maintain and update student records, attendance records, and other administrative documents accurately.
  • Establish and maintain effective data entry and filing systems.
  • Handle incoming and outgoing mail, emails, and correspondence proficiently.
  • Support in the preparation and distribution of newsletters, announcements, and reports.
  • Ensure the office space is consistently clean and well-organized.
  • Procure office supplies as required and oversee inventory management.
  • Provide assistance to school administrators and teachers with various administrative tasks as necessary.
  • Collaborate closely with other administrative personnel to ensure the school’s smooth and efficient operation.
  • Monitor visitor access to guarantee a secure environment.
  • Adhere to safety protocols and emergency procedures diligently


  • A Bachelor of Business Administration or a Bachelor of Arts in Communication from an accredited university.
  • A minimum of three (3) years of office and clerical experience, preferably in an academic or institutional environment. Familiarity with school or education settings is considered an advantage.
  • Exceptional attention to detail and accuracy in data entry.
  • Demonstrated customer service orientation with a friendly and approachable demeanour.
  • A commitment to discretion and confidentiality when handling sensitive information.
  • Strong problem-solving skills and the ability to efficiently manage diverse tasks.
  • Excellent communication skills, both written and verbal.
  • Preferred residency in Accra.
